Records & handover
What to keep in your passive fire protection handover
Useful records connect each completed repair or installation to a recognisable place in the building.

Keep the scope alongside the completion records
Retain the agreed survey or schedule with the completed works information. This makes it easier to distinguish the original instruction, approved changes and any items that remain outside the scope.
Make locations easy to find again
Use consistent references for doors, penetrations and compartment lines. Where available, keep marked-up drawings with the records. A photograph is more useful when the next person can identify the floor, room and exact installation it shows.
Retain the relevant product and installation information
Keep the system information and supporting documents supplied for the completed work. Record the installed detail and relevant certification where provided. Avoid separating photographs from the location and system they relate to.
Pass the information to the people maintaining the building
Handover should reach the building owner or management team, not remain in one contractor's inbox. Store it where future maintenance teams can find it, and use it when planning alterations that may affect the existing passive protection.
